You: Any visitor to our website, prospective member, or member (“you,” “your”)

This Privacy Policy explains what personal information Sustainably Fit collects, how we use it, which service providers handle it on our behalf, and the choices you have. It applies to sustainably.fit, our membership, and the third-party platforms through which parts of the membership are delivered.

The short version: We collect what is needed to run your membership and nothing more. We do not sell your information. We do not use behavioral advertising, retargeting pixels, or social media tracking. We do not feature you or your results anywhere without your explicit written consent. The details follow.


1) Who This Policy Covers

This policy applies to three groups of people:

  • Visitors — anyone browsing sustainably.fit, including public articles and pages
  • Prospective members — anyone who contacts us, starts checkout, or begins a free trial
  • Members — anyone with an active or past Sustainably Fit membership

Our membership is for adults 18 and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.


2) What We Collect

Account and contact information. When you join, contact us, or start a trial, we collect your name and email address, and any information you choose to include in your messages to us.

Payment information. Membership payments are processed by our payment processor through our website platform. Sustainably Fit does not receive or store your full card number. We receive confirmation of payment, the billing status of your membership, and limited transaction details needed for records and support.

Training and nutrition data. As part of your membership, you may enter information into the third-party apps we use to deliver training (Everfit) and nutrition tracking (Cronometer) — such as workouts completed, weights and reps logged, body measurements, progress photos you choose to upload, and food logged. That data lives in those platforms under their privacy policies. See Section 4 for what Sustainably Fit can and cannot see.

Communications. Emails you send us and our replies, and records of transactional emails we send you (welcome emails, billing notices, cancellation confirmations).

Technical information. Standard information your browser sends when you visit any website — IP address, browser type, device type, pages viewed, and referring page — collected through our website platform’s built-in analytics and the cookies described in Section 6.

Health screening information (a limited number of early members). Before Sustainably Fit moved to its current self-directed model, some early members completed a Physical Activity Readiness Questionnaire (PAR-Q+) as part of onboarding. Those forms contain health-related information those members provided voluntarily. We no longer collect this information — the Member Agreement places responsibility for determining exercise readiness with each member, and we do not request medical history from new members. The existing forms are stored securely with access restricted to the founder, are not shared with any third party, are used for no purpose other than the original readiness screening, and will be deleted at the member’s request (see Section 10).

Beyond those legacy forms, we do not collect health information other than what you voluntarily enter into the training and nutrition apps. The Member Agreement asks you to determine your own readiness for exercise; it does not ask you to disclose medical conditions to us.


3) How We Use It

We use your information to:

  • Create and manage your membership, including creating your accounts on the platforms that deliver it
  • Process payments, trials, renewals, and cancellations
  • Send transactional emails required to operate your membership (login details, billing, access changes)
  • Respond to your questions and provide support
  • Send occasional updates about the platform — only if you have opted in, and you can opt out at any time (see Section 7)
  • Understand how the website is used in aggregate, so we can improve it
  • Prevent abuse, such as duplicate trial claims, and enforce the Member Agreement
  • Comply with legal, tax, and accounting obligations

We do not use your information to build advertising profiles, and we do not make automated decisions about you that have legal or similarly significant effects.


4) The Platforms We Use, and What Each One Receives

Sustainably Fit is a small company that delivers its membership through established third-party platforms rather than software we built ourselves. Each of these providers processes your information on our behalf and under its own privacy policy. We share only what each one needs to do its job.

Kajabi — hosts sustainably.fit, your member account, The Sustainably Fit Playbook, checkout, and our email sending. Receives your name, email, login credentials (which we cannot see), payment status, and website usage data.

Everfit — delivers your training programs. When you join, we create an Everfit account for you using your name and email. Everfit stores the training data you enter there.

Cronometer — provides nutrition tracking, with the Gold tier included in your membership. We add your email address to our professional account to issue your Gold invite. Cronometer stores the nutrition data you enter there.

Zapier — automation that connects Kajabi to Everfit and our email. Passes your name, email, and membership status between those systems when you join, cancel, or return. Zapier does not retain this data beyond what is needed to run the automation.

Google Workspace — our business email. Holds our correspondence with you and the transactional emails we send.

What Sustainably Fit can see. Because your Everfit and Cronometer accounts are connected to our professional accounts on those platforms in order to provide them to you, Sustainably Fit has the technical ability to view data you log there — including workouts, measurements, photos you upload, and food diaries. The membership is self-directed, and we do not routinely review member data. We look at it only when you ask us to (for example, to help troubleshoot a problem) or when necessary to resolve an account issue. We will never use it for marketing or share it externally without your explicit written consent, consistent with the Media Consent section of the Member Agreement.

5) What We Do Not Do

These are commitments, not just current practices. If any of them ever changed, we would update this policy and notify members before the change took effect.

  • We do not sell your personal information, and we have never sold it.
  • We do not share your information for behavioral or targeted advertising. No retargeting pixels, no advertising networks, no data brokers.
  • We do not use social media tracking on our website. Sustainably Fit has no social media presence and embeds no social platform code.
  • We do not run surveillance-based marketing of any kind. If we ever advertise, it will be keyword-based search advertising — showing an ad to someone who searched for a relevant term — and any conversion measurement we add to support it will be disclosed here first.
  • We do not feature your name, photos, results, or messages in marketing or public content without your explicit written permission, requested directly from you, which you are free to decline.

6) Cookies and Analytics

Our website platform sets cookies necessary to operate the site — keeping you logged in, remembering your session, and completing checkout. These cannot be disabled without breaking those functions.

We also use our website platform’s built-in analytics to understand how pages are used in aggregate: which pages are visited, roughly how visitors arrive, and general device and location information. We use this to improve the site, not to identify or profile individuals. [Confirm: if Google Analytics or any other analytics tool is installed, name it here.]

You can control cookies through your browser settings. Blocking essential cookies will affect login and checkout.


7) Emails

We send two kinds of email:

  • Transactional emails — welcome emails with your login details, Cronometer invites, billing notices, and cancellation confirmations. These are required to operate your membership and are sent to all members regardless of marketing preferences.
  • Updates — occasional notes about new programs, lessons, or platform changes. These are sent only to members who have opted in, and every one includes an unsubscribe link. Opting out has no effect on your membership.

We do not send daily or weekly marketing emails, and we do not use email open tracking to build profiles of individual members.


8) How Long We Keep Information

We keep your account information for as long as your membership is active. After a membership ends, your Everfit access is archived and your Cronometer Gold benefit is removed; your Sustainably Fit account record remains so that you can return without starting over, and so that trial eligibility can be determined accurately.

You may request deletion of your account record at any time (Section 10). Transaction records are retained as long as required for tax and accounting purposes. Data you entered into Everfit or Cronometer is subject to those platforms’ retention policies; you may also delete it directly within each app.

Health screening forms completed by early members (Section 2) are retained while that member’s membership is active and deleted within 90 days after it ends, or sooner on request, unless retention is required to address a legal claim.


9) Security

We rely on the security practices of the established platforms named in Section 4, each of which maintains industry-standard protections, and we restrict access to member information to what is necessary to operate the membership. Sustainably Fit is operated by its founder; there is no staff with broad access to member data.

No method of transmission or storage is completely secure. If we become aware of a breach affecting your information, we will notify you as required by law and as promptly as we reasonably can.


10) Your Rights and Choices

Wherever you live, you can ask us to:

  • Access the personal information we hold about you
  • Correct information that is inaccurate
  • Delete your information, subject to records we must keep for legal and accounting reasons
  • Export your information in a portable format
  • Opt out of update emails at any time

We honor these requests for everyone, not only where the law requires it. To make a request, email [email protected]. We will verify that the request comes from the account holder and respond within 30 days. We will never treat you differently for exercising these rights.

California residents: You have the rights described above under the California Consumer Privacy Act as amended. We do not sell or share personal information as those terms are defined under California law, and we have not done so in the preceding 12 months.

Residents of other U.S. states, the EU, the UK, and elsewhere: The rights above are available to you. If your local law provides additional rights, contact us and we will work with you to honor them.


11) Third-Party Links

Our site links to the platforms we use and occasionally to outside sources. Those sites have their own privacy practices, which we do not control. This policy applies only to information collected by Sustainably Fit.


12) Changes to This Policy

We may update this policy when our practices or the platforms we use change. The “Last Updated” date at the top will reflect the most recent revision. For material changes — anything that expands what we collect or how it is used — we will notify active members by email before the change takes effect.
